Your privacy matters to us. Getnomik handles sensitive legal and client data. This policy explains clearly what we collect, why we collect it, and how it is protected.

This Privacy Policy describes how Getnomik Pvt Ltd ("Getnomik", "we", "us", or "our") collects, uses, stores, and protects information obtained through our products — DigiLog, Nomiq, and LawDock — and our website at getnomik.com.

We are committed to handling your data with care, transparency, and in compliance with applicable data protection laws in India, including the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023 (DPDPA).

Account & Identity Information

  • Professional details (Bar enrollment number, notary registration, firm name)
  • Billing details and payment information (processed securely via third-party payment gateways)

Legal & Client Data (User-Uploaded)

  • Client records, case files, and register entries you create within our products
  • Documents, certificates, and agreements you upload or generate
  • Audit logs and timestamps associated with your records

Usage & Technical Data

  • IP address, browser type, device information
  • Pages visited, features used, and session duration
  • Error logs and performance diagnostics

3. How We Use Information

We use the information we collect to:

  • Provide, maintain, and improve our products and services
  • Authenticate users and ensure account security
  • Process billing and manage your subscription
  • Respond to support requests and communications
  • Send service-related notices, product updates, and security alerts
  • Analyse usage patterns to improve features (using aggregated, anonymised data only)
  • Comply with applicable legal obligations

We do not use your client or legal data for any marketing, profiling, or commercial purposes. This data is yours — we only process it to deliver the service to you.

4. Sharing of Information

We do not sell, rent, or trade your personal or legal data to any third party. We may share information only in the following limited circumstances:

  • Service Providers: Trusted third-party vendors who assist us in operating our infrastructure (e.g., cloud hosting, payment processing) — bound by data processing agreements and confidentiality obligations
  • Legal Requirements: Where required by applicable law, court order, or regulatory authority in India
  • Business Transfers: In the event of a merger, acquisition, or sale of all or substantially all of our assets — with notice provided to affected users
  • With Your Consent: For any other purpose, only with your explicit prior consent

5. Data Security

Given the sensitive nature of legal data, we implement robust security measures:

  • Encryption of data at rest using AES-256
  • Role-based access control (RBAC) within each organisation account
  • Comprehensive audit logs for all data access and modifications
  • Regular security reviews and vulnerability assessments
  • Multi-factor authentication (MFA) support

While we take every reasonable precaution, no system is entirely immune to security risks. We encourage you to use strong, unique passwords and to report any suspected security incidents to contact@getnomik.com immediately.

6. Data Retention

We retain your data for as long as your account is active or as needed to provide our services. Specifically:

  • Account and profile data is retained for the duration of your subscription plus 90 days after termination
  • Legal and client data you upload is retained as long as your account is active, and for 30 days after account closure during which you may request an export
  • Usage and technical logs are retained for up to 12 months
  • Billing records are retained for 7 years as required under Indian tax law

After the applicable retention period, data is securely deleted or anonymised.

7. Your Rights

Under applicable Indian data protection law, and as a matter of our own commitment to fairness, you have the right to:

  • Access: Request a copy of the personal data we hold about you
  • Correction: Request correction of inaccurate or incomplete data
  • Deletion: Request deletion of your personal data, subject to legal retention requirements
  • Portability: Request an export of your data in a machine-readable format
  • Withdraw Consent: Where processing is based on consent, withdraw it at any time (without affecting prior processing)
  • Grievance: Lodge a complaint with us or with the relevant data protection authority

We do not use third-party advertising cookies or cross-site tracking. You can control or disable cookies through your browser settings, though this may affect the functionality of our products.

9. Third-Party Services

Our products may integrate with or link to third-party services (e.g., payment processors, cloud infrastructure providers). These services have their own privacy policies and we encourage you to review them. Getnomik is not responsible for the privacy practices of third-party services.

We carefully vet any third-party service providers we work with and require them to adhere to appropriate data protection standards through contractual obligations.

10. Children's Privacy

Getnomik's services are intended exclusively for legal professionals and are not directed at individuals under the age of 18. We do not knowingly collect personal data from minors. If we become aware that a minor has provided us with personal data, we will take steps to delete it promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email and/or by placing a prominent notice within our products at least 14 days before the changes take effect. The "Last Updated" date at the top of this policy reflects the most recent revision.

Your continued use of our services after changes take effect constitutes your acceptance of the updated policy.
